qivo Innovation Limited takes data protection and privacy seriously. This statement explains, in summary, how we comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 when we collect and use personal data through qivo.co.uk and when providing our services. 2. What personal data we collect
We collect only the personal data we need in order to run our business and deliver our services. This may include:
Contact details such as your name, email address, telephone number and business name
Information about your enquiry, project or website package
Account and billing information, including invoice details and payment records
Website content and instructions you provide so that we can design and manage your website
Technical and usage data such as IP address, device and browser information, and pages viewed on our site
Records of communications with you, including emails, contact form submissions and chatbot messages
We do not intentionally collect special category data and ask you not to include this in content or enquiries unless it is strictly necessary.
3. Our lawful bases for using your data
Under the UK GDPR we must have a lawful basis to process personal data. For qivo these are:
Contract: to set up and manage your website, provide support, manage your account and take payment for our services
Legitimate interests: to respond to general enquiries, improve and secure our website and services, understand how visitors use our site, and send relevant communications to business contacts
Consent: where you choose to sign up for optional marketing emails or allow non essential cookies, and for certain chatbot or form submissions where consent is clearly requested
Legal obligations: for example to keep accounting and tax records, or to respond to lawful requests from public authorities
4. How we use and share personal data
We use the data we collect in order to:
Provide, manage and support our services and website packages
Communicate with you about your enquiry, project, account or subscription
Send service emails such as sign up confirmations, invoices, payment confirmations, renewal reminders and important notices
Send marketing emails about our services where you have asked to receive them or where this is otherwise permitted by law (you can opt out at any time)
Operate, maintain and secure our website and systems
Keep business, tax and regulatory records as required
We do not sell your personal data.
We may share personal data with carefully chosen service providers who help us run our business, such as hosting providers, website and ecommerce platforms, analytics tools, email and CRM platforms, payment processors and professional advisers. These providers are only allowed to use your data as instructed by us and must keep it secure.
Some providers may be located outside the UK or EEA. Where personal data is transferred internationally, we will ensure appropriate safeguards are in place, such as standard contractual clauses or an adequacy decision.
We may also disclose information if required to comply with the law or to protect our rights, users or the public.
5. Retention
We keep personal data only for as long as necessary for the purposes set out above, including:
For the duration of your project and any ongoing services, plus a reasonable period to handle questions or disputes
For at least six years for accounting and tax records
For marketing contacts until you opt out or we consider the data to be inactive
When data is no longer needed, we will securely delete or anonymise it.

7. Cookies and analytics
